Trip and dispatch management

A trip is the unit of work in Easy TMS. You create it once, assign the tractor, the semitrailer and the driver, and enter the planned loading and unloading windows. Each trip receives a sequential annual number in the NNNN/YYYY format, so the reference on the transport order matches the reference in the system.

Trip status follows the schedule instead of being maintained by hand. A trip is planned before the loading window, in transit after departure is confirmed, and moves to awaiting delivery confirmation once the planned unloading time has passed without a confirmed delivery. Nothing is ever reported as delivered unless a person confirms it.

Fleet records

Tractors, semitrailers and drivers each have their own record with registration details, technical data and the documents attached to them. Because the fleet register and the dispatch board share the same data, a vehicle that is out of service or a driver whose licence has lapsed is visible at the moment you try to plan them.

Transport documents and expiry dates

Company, vehicle and driver documents are tracked with issue and expiry dates and a configurable warning threshold. Trip paperwork such as the transport order, the CMR and the proof of delivery is attached to the trip it belongs to, with an optional review step before a document counts as accepted.

Invoicing, receipts and receivables

Invoices are raised from completed transport work, so the amounts follow the trips rather than a separate spreadsheet. Payments are recorded against invoices, the receivables view shows what is still open, and bank statements can be imported and reconciled against recorded payments.

Cost and profitability reporting

Recurring costs such as leasing, insurance or driver remuneration are defined as rules on a company, tractor, semitrailer or driver, with a frequency and an allocation method. Easy TMS spreads those costs over the calendar days a resource is actually committed to a trip, so the margin of a trip reflects its real share of fixed costs and not only fuel and tolls.

Roles and multi-company access

Users are added with an operational role — manager, dispatcher or accountant — and the account owner controls who can reach billing and configuration. A user can belong to more than one company, and data is isolated per company at the database level.
